Resource calendars are not loading into Microsoft Project via ProjectLink, or are incorrect in MS Project after loading.

Problem: Resource calendars are not loading into Microsoft Project via ProjectLink.
Problem: Calendars loaded into Microsoft Project via ProjectLink are not correct.
Fix: The expected behavior of calendars using ProjectLink Options “Download Calendar Policies” is as follows:

The workweek and holiday schedules in Primavera are combined into one for both the project and the resources, as Microsoft Project (MSP) only has one “base calendar” available for them. 


The project workweek and holiday schedule always become the “Standard” calendar in MSP.  If you select the “Standard” calendar, you are selecting the project workweek and holiday schedule.  If the “working days” in the calendar are “shaded” or “striped” instead of white, this indicates that the daily hours are different from the standard 8 hour day.  For example, a 7.5 hour work day may look like this:


 


 


  


However, to the right of the calendar, it may show a seven hour workday, such as: 8-12 and 1-4.  There is a “rounding” issue, and the 7.5 hour day in this example is rounded down to 7 hours.  This issue is resolved in version 8.5.



Where the workweek and the holiday schedule match a calendar that is already in MSP (such as Night Shift or 24 Hour), the MSP calendar will be used.  


 


If a resource’s workweek and holiday schedule combination varies from the project’s (Standard) and the other MSP calendars (24 Hour and Night Shift), it will generate a new calendar in the drop down.  The name will be a hyphenated combination of the names of the workweek and holiday schedule, and may look something like this:


 




Resources will all be given the Standard/project calendar by default in MSP, and the proper calendar must be manually selected for them from the drop down list.


NOTE:  The advanced macros must be installed in order to select ‘Download Calendar Policies (onPvOpen_writeCalendars Macro)’ from Admin – ProjectLink Options: See System Administrator Guide, section 3.10.2 Installing ProjectLink, under the heading “Installing the Extended Functionality”.
